MSF Finance department officer Intern (m/f/x)

CONTEXT

The Finance Department collaborates and partners with different departments and units throughout OCB and other sections to provide an expertise that promotes and supports MSF's social mission into the future.

This is the ultimate purpose of the finance department, to make sure that the resources that are granted to MSF are managed at best to support the social mission and the patients we serve. 

To accomplish this objective, the finance department bring through staff and teams a unique set of skills and information that serve the achievements of 5 specific themes:

  1. Sustainability
  2. Expertise and Guidance
  3. Information
  4. Tools and Processes
  5. Decision making

In such a context, Knowledge is a key factor that need to be shared and available to empower our staff and teams in the job. Nowadays, the Finance Knowledge Base is changing the on-line library. The new tool will serve a wider set of objectives going from internal communication to knowledge and information sharing.

The moving is the opportunity to improve accessibility to finance knowledge, users’ experience, and quality of the files’ management system.

Positioning within the organisation 

The support person will work in close collaboration and under the responsibility of the Project Manager, who is the current Knowledge Manager for the finance department in MSF OCB.

The support person will have contact with Sherlog and Intranet managers and editors. S/he will also need to collaborate with Finance Subject Matters Experts.

RESPONSIBILITIES

While changing the tool for the Finance Knowledge Base, we want to increase the quality and accessibility of Finance Knowledge by ensuring that:

Structure:

  • The actual structure of the files’ system responds to the needs;
  • Metadata are correct, compiled and available for all files in all available languages;
  • Knowledge Database system is functional and updated accordingly;
  • Links to the different pages are functional, clear and work properly.

Accessibility:

  • Accessibility is improved thorugh searching options and metadata;
  • Accessibility is granted according to the different profiles;
  • The users experience in the switch of tool is as smooth as possible.

Confidentiality:

  • Confidentiality of sensitive files is ensured, and criteria are clear and work properly;
  • Process for the admission of new members is organized, structured and function properly;
  • Responsibilities are clarified and agreed for the process flow.

    REQUIREMENTS

  • We are looking for a flexible and enthusiastic candidate, inspired by MSF social mission, and with strong interest in Knowledge and information sharing, eager to contribute actively to the improvement of the Knowledge Base of the Finance department.

 Required qualifications and experiences 

  • Good command of French and/or English, both written and spoken
  • Excellent IT skills, strong knowledge of MS Office (Outlook, Teams, OneDrive, SharePoint, Word, Excel,) 

Personal characteristics/Interpersonal skills 

  • Strong organizational, planning and administrative/logistical skills, and attention to detail
  • Responsible, driven, and able to work independently, with guidance from staff members 
  • Empathic and creative problem solver
  • Excellent verbal and written communication, copy-editing and proofreading skills 
  • Team-player, hands-on and flexible
  • Initiative and confidence to ask questions in a fast-paced work environment.
  • Excellent interpersonal and communication skills

What can be an asset

  • Junior profile willing to learn about Knowledge Management (educational background in the field is an asset)

CONDITIONS

  • 2/3 months internship (unpaid) - Full time - internship with school convention -necessity to be present in the Brussels Office 
  • Reimbursement (100%) of public transport costs for the travels home - office

  • Starting date:  as soon as possible
